Operations Associate Analyst acts as a steward of quality data to ensure consistency in the processes of managing resources. This helps ensure that the information is reliable for the resource manager and allows them to function more efficiently.

Key Responsibilities

  • Monitor utilisation to ensure accurate capacity information, limit the amount of unassigned time (bench time) and prevent overloading that can lead to burnout.
  • Manage capacity by regularly synchronising with project managers regarding team availability. Assign extensions to projects that are nearing their end dates, or mark resources available to take on new opportunities.
  • Collaboration with other teams of project delivery and resource managers to determine problems with the process and escalate as required.
  • Produce weekly status reports that highlight inactive assignments, expired opportunities or any other discrepancies in data to help leaders make informed decisions.
  • Find and fix “ghost assignments” (resources linked to unfinished projects) as well as “expired assignments” (resources still tied to completed projects).
  • Maintain the data hygiene of Salesforce PSA through:
    • Administration and data entry in high volume to track each project, person and hour.
    • Reconciliation of assignments as well as the cleanup from inactive (“zombie”) possibilities.
    • Standardisation of name conventions as well as entry rules.
    • Monthly audits to align the records of the system with the actual project requirements.
  • Utilise systems thinking to comprehend the ways that opportunity stages affect the assignment of resources.

Required Skills and Experience

  • Between 12 and 24 months of professional experience.
